Privacy Policy
How we handle your account data and WhatsApp messages.
Who we are
WaSphere is a self-hosted WhatsApp operations platform operated by AI Team. This policy explains what data we process when you use the service.
What data we collect
- Account details: name, email, password (stored encrypted)
- WhatsApp data: messages, contacts, media, and connection status after you link a number
- Usage logs: actions in the dashboard (sends, logins, session events)
- Optional analytics cookies — only if you opt in at signup
Why we use your data
- To run the dashboard — inbox, sending, bulk messages, SLA alerts
- To keep you signed in securely
- To improve the product (only with your optional analytics consent)
- To respond to support requests
Where data is stored
WaSphere is self-hosted. Your WhatsApp messages and account data are stored on the server where WaSphere is installed — not on Meta’s servers and not sold to third parties.
Your responsibilities as a store owner
If you message customers in the EU, UK, or other regions with privacy laws, you are the data controller for your customers’ WhatsApp data. You must have a lawful basis to message them, honour opt-out requests, and reply to their privacy questions.
Your rights
- Access — request a copy of your account data
- Correction — update your profile in Settings
- Deletion — ask us to delete your account and stored messages
- Withdraw consent — sign out and contact support to remove analytics cookies
- Complain — contact your local data protection authority if applicable
How long we keep data
Account data is kept while your account is active. Activity logs are retained based on your workspace log retention setting (default 30 days). WhatsApp session data remains until you delete the session or your account.

For privacy requests, contact your WaSphere administrator or the team that provided your login.
